At ExtraOnlineHub, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you interact with our annual budgeting services and educational resources. We're committed to transparency—you deserve to know exactly what happens with your data.

This document complies with the Australian Privacy Principles (APPs) under the Privacy Act 1988. If you have questions or concerns, we're here to help you understand your rights and our practices.

What Information We Collect

We only collect information that helps us provide better budgeting education and support. Here's what that looks like in practice.

Personal Information You Provide

When you sign up for our programs or contact us, we collect basic details like your name, email address, phone number, and sometimes your current financial situation (strictly related to budgeting education needs). We also collect payment information when you enroll in paid courses—though this is processed through secure third-party providers.

Information We Collect Automatically

Like most websites, we gather some technical data when you visit. This includes your IP address, browser type, device information, and how you navigate our site. We use this to spot technical issues and understand which resources people find most helpful. None of this identifies you personally.

  • Browser and device specifications
  • Pages visited and time spent on each
  • Referring website or source
  • Geographic location (city and region level only)
  • Course progress and completion data

How We Use Your Information

Your data serves specific purposes—all connected to making your budgeting education experience worthwhile and keeping our service running smoothly.

Purpose Details
Course Delivery Managing enrollments, tracking progress, sending learning materials and updates
Communication Responding to inquiries, providing support, sending relevant educational content
Service Improvement Analyzing usage patterns to enhance course content and user experience
Legal Compliance Meeting Australian regulatory requirements for educational providers
Payment Processing Handling course fees and maintaining financial records

We never sell your information to third parties. Period. That's not our business model, and frankly, it shouldn't be anyone's when it comes to educational services.

How We Protect Your Data

Security isn't just a checkbox for us. We use industry-standard measures to keep your information safe from unauthorized access, disclosure, or misuse.

  • SSL encryption for all data transmission between your browser and our servers
  • Secure server infrastructure with regular security updates and monitoring
  • Limited staff access—only team members who need your information to help you can see it
  • Regular backups stored in secure, encrypted environments
  • Annual security audits and vulnerability assessments

While we do everything reasonable to protect your data, no system is completely bulletproof. If we ever experience a data breach affecting your information, we'll notify you promptly and work with relevant authorities as required by Australian law.

Sharing Your Information

We share your data with a small number of trusted partners—only when necessary and always with contractual protections in place.

Service Providers

We work with companies that help us deliver our services: payment processors, email delivery platforms, and hosting providers. These partners are contractually required to protect your information and can only use it for the specific services they provide to us.

Legal Requirements

Sometimes we're legally obligated to share information—like when responding to valid court orders or government requests. We'll only disclose what's legally required and will notify you unless prohibited by law.

Third-Party Services We Use

Payment processing through Australian-regulated financial institutions

Email communications via secure platforms with Australian data residency

Analytics tools for website performance monitoring

Cloud hosting services with servers located in Australia

Your Privacy Rights

Under Australian privacy law, you have significant control over your personal information. Here's what you can do and how to do it.

Access Your Information

You can request a copy of all personal information we hold about you. We'll provide this within 30 days, free of charge for the first request each year. Just email our Privacy Officer at contact@extraonlinehub.com with "Data Access Request" in the subject line.

Correct Your Information

If anything we have on file is wrong or outdated, let us know. We'll update it promptly—usually within 5 business days. You can make corrections directly through your account dashboard or contact us for assistance.

Delete Your Information

You can request deletion of your personal data at any time. We'll remove it within 30 days, except where we're legally required to retain certain records (like financial transactions for tax purposes). We keep those only as long as the law requires.

Withdraw Consent

If you've opted into marketing emails or newsletters, you can unsubscribe anytime using the link in any email we send. This won't affect communications directly related to courses you're enrolled in.

  • Lodge a complaint with us first—we genuinely want to address any concerns
  • Contact the Office of the Australian Information Commissioner (OAIC) if you're not satisfied with our response
  • Request data portability if you want to transfer information to another provider

Data Retention

We don't keep your information longer than necessary. Here's how long we typically retain different types of data.

Course enrollment and progress data stays active while you're using our services and for 7 years afterward—primarily for alumni support and credential verification. Financial records stick around for 7 years per Australian tax requirements. Marketing contact information gets deleted within 2 years if you haven't engaged with our content.

When we delete data, we really delete it. Our systems purge information from active databases and backups according to a documented schedule.

Cookies and Tracking

We use cookies—small text files stored on your device—to make our website work properly and to understand how people use it.

Essential Cookies

These keep you logged in and remember your preferences. They're necessary for the site to function, so they're not optional. But they don't track you across other websites.

Analytics Cookies

We use these to see which pages people visit most and where they get stuck. This helps us improve the learning experience. You can opt out through your browser settings or our cookie consent tool.

Most browsers let you control cookies through their settings. Blocking all cookies might affect how our site works, but you're free to do so. We respect that choice.

International Data Transfers

We primarily store your data on servers in Australia. Some of our service providers operate internationally, which means your information might occasionally be processed overseas.

When this happens, we ensure those providers meet Australian privacy standards through contractual agreements. Your data receives the same level of protection regardless of where it's physically stored.

Children's Privacy

Our services target adults managing household finances. We don't knowingly collect information from anyone under 18. If a parent or guardian believes we've accidentally collected a child's information, contact us immediately and we'll delete it.

Changes to This Policy

We review and update this policy periodically as our services evolve or laws change. When we make significant changes, we'll email enrolled students and post a notice on our website at least 30 days before the changes take effect.

Continued use of our services after policy updates means you accept the new terms. If you disagree with changes, you can close your account before they take effect.
